Refund & Cancellation

What happens to your advance if a mandate is cancelled, a candidate drops out, or you stop a software subscription.

Last updated [date to be set at launch]

This page needs legal review before launch.

The commercial terms below reflect Workfly’s stated pricing and process. The clauses that carry legal effect — jurisdiction, liability, data processing and dispute resolution — must be drafted or approved by your counsel before this site goes live.

01Cancelling a mandate

You may cancel a requirement at any time before candidates are submitted. Because the advance funds sourcing work that begins immediately on activation, the treatment of a paid advance on cancellation is set out in your commercial agreement.

02If a candidate does not join

The recruitment fee is charged on successful joining. Where a selected candidate does not join, the mandate continues against the same requirement rather than being billed — subject to the terms agreed for that mandate.

03Replacement instead of refund

Where a replacement policy applies, replacement is provided in place of a refund for the agreed replacement period. A replacement request is raised from your client dashboard and tracked to closure like any other mandate.

04Software subscriptions

Subscription fees for the Workfly Recruitment CRM, Workfly HRMS and the WhatsApp add-on are billed in advance for the chosen period. Cancellation stops the next renewal.

05Refund mechanics and timelines

[To be completed by counsel and finance: refundable versus non-refundable portions of the advance, processing timelines, the refund method, GST treatment on credit notes, and the escalation path for disputed invoices.]
